In this role you will ensure smooth office operations by managing office infrastructure, supplies, finances, and People Administrative tasks efficiently. Responsibilities:
Office Support
Implement improvements in office efficiency and aesthetics
Manage office-related and HR payments, liaising with suppliers
Handle distribution of deliveries and correspondence within the office
Meet office visitors and arrange their meetings with company representatives
Coordinate daily tasks such as meal orders, workstation organization, and seating arrangements
Administer clocking system/card access system
Track payments and deliver reports on expenses
Maintain and implement other office-related processes (e.g. stationery, parking, courier, taxi ordering, etc.)
Provide ad-hoc support to the General Manager and the CEO
IT Assets Management
Manage IT equipment, ensuring standardized and safe workstations
Perform basic IT troubleshooting with support from the IT Department
Maintain Assets Registry
Corporate Events
Plan and organize team engagement events and trainings
Track expenses related to events and trainings
Arrange accommodation for employees visiting and/or flying from Cyprus
Welcome and assist office visitors with any enquiries they may have
People Operations
Work with employee benefits providers
Include eligible employees in benefits programs
Manage travel and visas, including booking flights, accommodation, and taxis
Handle visas, work permits, and liaise with relevant service providers
Onboarding
Assist with onboarding new team members
Prepare workspaces and necessary equipment in collaboration with the IT Support Team
Conduct welcome meetings and provide necessary information
Follow up with new joiners to ensure all necessary support is provided
Improve the onboarding process
Candidate profile:
1+ years of experience in office management or HR administrative role
Experience in coordinating daily office tasks, managing IT equipment, and handling office-related payments
Proven track record in organizing team engagement events and/or trainings
Strong organizational and time management skills, with keen attention to detail
Ability to multitask and prioritize tasks effectively in a fast-paced environment
Excellent communication and interpersonal skills, with a friendly and professional manner
Problem solving skills and focus of results
Proficient in Microsoft Office Suite
Fluent English and Greek
